Service Support Administrator

🕒 Monday-Friday, 8am-5pm

An exciting opportunity has arisen for an experienced Service Support Administrator to join a growing business in King's Cross. This is a busy and varied role supporting the service team, coordinating engineers, managing customer communications and ensuring service activities are delivered efficiently.

The successful candidate will play a key role in the day-to-day running of the service department, working closely with customers, engineers, subcontractors and suppliers to maintain high service standards.

Responsibilities

• Managing and issuing engineer schedules
• Coordinating planned and reactive maintenance visits
• Updating customers on engineer attendance and schedule changes
• Monitoring job progress and completion
• Producing and issuing service reports
• Preparing and managing customer quotations
• Scheduling subcontractor visits
• Producing and issuing RAMS documentation
• Obtaining and reviewing subcontractor RAMS
• Raising purchase orders
• Processing supplier invoices
• Updating PPM planners and service schedules
• Maintaining accurate CAFM records
• Creating and updating customer accounts and service contracts
• Assisting with monthly reports and live works updates
• Handling incoming calls and service requests
• Liaising with customers, engineers and subcontractors

About You

To be considered, you should have:

• Experience within HVAC, Facilities Management, Building Services or a similar engineering environment
• Strong administration and coordination skills
• Experience using CAFM systems
• Good knowledge of Microsoft Word, Excel, Outlook and PowerPoint
• Excellent communication skills
• Strong organisational skills and attention to detail
• Ability to prioritise and manage a busy workload
• A proactive and professional approach
• Strong customer service skills
